The Hangar Hotel boasts beautiful rooms with king-sized beds, on site diner, and period aircraft. The Officer's Club is an elegant spot for drinks with friends.

Fees are due upon receipt of invoice. Deposit invoice is due upon registration and payments are due on January 20, 2017 and March 11, 2018 (final payment). All fees are nonrefundable and include AIG’s TravelGuard Gold insurance policy

This agreement is made and entered into on the following terms and conditions:

Tenant acknowledges that the facility rental is for use the day of the event with the event ending no later than Midnight. Decorating and set up for events may occur from 8am-5pm the day prior to the event as long as the space is available and arrangements are made with the Event Coordinator no less than 30 days in advance. The Tenant will be charged

$60/hour for any set-up outside of those hours that hasn’t been approved in advance.

The Hangar Hotel will not be held responsible for any losses, damages or injuries. The Tenant will be responsible for the control and supervision of the people in attendance during the use of the facility to ensure no harm is done to persons or property. The Tenant is responsible for making sure that the number of guests does not exceed the agreed upon headcount. The Hangar Hotel is not responsible for items left behind before, during or after an event. Should the nature of the event require supervision of items left in the conference center overnight the Tenant is responsible for notifying the Event Coordinator no less than 30 days in advance so that security services can be secured, the Tenant will be billed for additional security services.

The Hangar Hotel reserves the right to take photographs during events for records and use in the future. Photos taken during featuring any guests will not be used or sold without client permission.

The facility rental fee also includes use of the Hangar Hotel’s tables and chairs if needed. Hangar Hotel staff will set up and tear down tables and chairs for the event; the Tenant is responsible for providing a layout for all setups no less than one week prior to the event – should the layout change within that week, the Tenant will be responsible for changing the setup. Tables and chairs are not to be taken outside by the Tenant or any guest attending the event. The Hangar Hotel staff is not responsible for setting up items secured from a third party rental service (tables, chairs, dinnerware, etc.) unless arranged 30 days in advance; a 20% handling fee will be charged to any rental items that require Hangar Hotel staff set-up or clean-up.

A deposit equaling the total facility rental fees shall be paid to the Airport Conference Center along with a signed copy of this rental agreement to reserve the event date.

All facility rental fees shall be paid in full upon completion of your event in addition to any costs for food, specially ordered items, hotel rooms, etc. Invoices not paid within 20 days of the final event invoice date will be charged a 20% late fee.

If the event is cancelled, all or part of the function deposit may be non-refundable, depending on when the cancellation occurs. Other fees may apply as follows. If the event is cancelled within 60 days of the event, half of the deposit paid will be refunded, if the event is cancelled within 30 days of the event, then the entire function deposit is non-refundable. If the event is cancelled within one week of the event, all of the rental costs, food costs, or specially ordered items will be due.

The Hangar Hotel has 50 king size rooms available adjacent to the Airport Conference Center. We can hold a block of hotel rooms for your guests until 30 days before your event. After which, any remaining rooms not reserved will be released to the public for general sale, unless those rooms have been secured by the host with a credit card under a master bill. If the room block is set up as a master bill, any rooms not picked up will be charged to the master credit card. Once the block of rooms expires we no longer honor discounted room rates. Please let us know if you would like to set up

a master bill or have your guests pay individually. Hotel policy states that all rooms are non-pet, non-smoking, and no children under 18 years of age are allowed.

The Airport Conference Center/Hangar Hotel is the sole provider of all beverages served in the Airport Conference Center/Hangar Hotel facilities. Alcoholic beverages may not be brought onto, or removed from, the property. At the conclusion of the event, all unused quantities of alcohol will become the property of the Conference Center.

The State of Texas regulates the sale and service of alcoholic beverages and the Hangar Hotel & Airport Conference Center is responsible for the administration of these regulations. The Hangar Hotel & Airport Conference Center reserves the right to refuse service if proof of legal drinking age is not demonstrated, or if anyone is impaired by the use of alcoho l. The host of the event will be notified of intoxicated attendees for appropriate action to be taken. For events where underage participants (minors) are present, parents or the host of the event are responsible for preventing consumption of alcohol by the minors. Beverage service will not extend beyond 11:30 PM. Costs for beverage items will be due upon the completion of your event. An 8.25% tax and 20% gratuity will be added to the final alcohol bill.

The Airport Conference Center/Hangar Hotel is the sole provider of all food and beverages served in the banquet facilities. The Airport Conference Center/Hangar Hotel strictly adheres to all Federal, State and Local laws regarding food purchase and consumption. Health Department codes do not permit the removal of leftover food provided by the Hangar Hotel & Airport Conference Center.

A 20% service charge plus state sales tax at 8.25% are applicable to all food costs. Groups requesting tax exemption must submit a tax-exempt certificate thirty (30) days prior to the function date, or tax will be applied to the final bill.

Catering will only be provided for parties of 10 people and above. Confirmation of the number of attendees of any function must be submitted to the Airport Conference Center no later than one week prior to the function date. All charges will be based upon the final submitted total headcount.. All menu selections shall be considered definite and not subject to change fourteen (14) days prior to the function date. Costs for food will be due upon the completion of your event.

Tenant agrees to take good care of the facility while occupying the premises. Tenant agrees to be financially responsible for any and all damages to facility, hotel rooms, airplanes, furniture or any other item that belongs to the Airport Conference Center/Hangar Hotel Complex or resides therein. The facility reserves the right to end the event early in the case where guests are causing damage to the premises or harming or harassing the Airport Conference Center or Hangar Hotel staff or other Hotel guests. If this occurs, local law enforcement will be notified and all costs, including costs for items not consumed or used for the event will be due and payable immediately.

Tenant agrees to be responsible for the conduct of all persons in attendance and for any damages incurred upon the Hangar Hotel & Airport Conference Center or its guests by individuals associated with or representing the group’s organization or function. The event may not disrupt other guests. We reserve the right to regulate noise levels including, but not limited to, adjusting the volume of performers and refusing the use of instruments such as drums, whistles, and amplification devices.

The Hangar Hotel will perform standard cleaning services such as sweeping, mopping and trash removal. The Tenant must remove anything brought in by self, guests or third party rental companies. In cases where the property has been damaged or abused beyond normal wear, the Tenant will be billed for all damage and additional clean-up. Should the

nature of the Tenant’s event require additional trash pick-up outside of normal pick-up times, the Tenant is responsible for any additional fees the Hangar Hotel incurs from the disposal company; the Tenant will be billed for these services.

If the Tenant schedules any aviation events wherein contracted flights have been set up for guests, the Tenant is required to coordinate details with the Gillespie County Airport. Hired for pay flights require permission of the Commissioners Court. The Court meets on the 2nd and 4th Monday of each month. This should be completed 30 – 60 days in advance of the event. The airport manager needs a copy of the insurance that names Gillespie County as an additional insured. The name of the aviation enterprise should be forwarded as soon as possible with type of aircraft and days of proposed flying.

The Hotel requires security personnel for all groups whose size, program, or nature indicates such need, at the sole discretion of Hotel Management. The Airport Conference Center/Hangar Hotel will secure these services and the charges will be billed to the Tenant.

{slider title="Decorations" class="icon"}

All proposed displays and or decorations for events held on the premises are subject to the Airport Conference Center/Hangar Hotel approval. The Airport Conference Center/Hangar Hotel does not permit affixing anything to the walls, floors, doors, doorframes, staging, draperies or ceilings with nails, staples, tape or any other substance. The use of rice, birdseed, glitter, confetti and other similar materials are also not permitted. Use of any of these items will result in the Tenant being billed for excessive clean-up.

The Airport Conference Center/Hangar Hotel cannot and does not assume responsibility for any decorations or articles left in the facilities prior to, during, or after your event. All decorations must be removed immediately following the conclusion of your event, unless prior permission has been arranged. The Airport Conference Center reserves the right to assess damages, in the event that any of the policies are not followed. The amount of damages will be determined by the nature of the damage caused.

Tenant acknowledges that all of the Airport Conference Center/Hangar Hotel buildings are designated nonsmoking. A

$300.00 per occurrence charge will be billed to the Tenant in the event that this policy is not upheld. Smoking is only allowed outside and away from doorways.

This agreement may not be altered, changed or amended except in writing signed by both parties. The terms and conditions contained in this agreement shall apply to and be binding on both parties.
